BJUSBM/COL/230908/02 -- Company Info: This is a fantastic opportunity for a skilled manager who would be interested in job sharing. The successful candidate will work from 1pm - 5pm from Monday to Friday and will be primarily responsible for leading and managing staff, promoting a client-centred service and the day-to-day co-ordination, planning and monitoring of services. The post-holder will also be involved in recruitment, IT, maintenance, health and safety and complaints.
Responsibilities:
• To convey the message of a caring, friendly, professional, confidential client centred service committed to the delivery of a high quality service.
• To be a member of a multidisciplinary team and provide high quality administration, operations and customer care service within the Head Office and associated units.
• Provide a contact point for all stakeholders and service providers in relation to all aspects of service provision in the Unit.
• Be responsible for the day-to-day co-ordination, planning and monitoring of services, within the Head Office and associated units, in accordance with policies.
• As part of Unit Management, to co-ordinate with the Clinical Director and Radiography Services Manager, to ensure the implementation of Unit Strategy and Unit Plans.
• Development of Unit Screening Plans; continuous assessment and monitoring of targets.
• Accountable for processing radiological results and issuing relevant client and GP correspondence.
• Ensuring the management of the assessment clinic and the collection and entry of relevant client data.
• Co-ordinate with Finance Department in relation to finance matters, invoices etc.
• Creation and approval of Purchase Orders and approval of invoices.
• Develop and implement Unit Standard Operating Procedures. Ensure SOPs are reviewed and updated as necessary.
• Development, implementation and review of Annual Service Plan.
• Participate in ad-hoc groups and meetings as required.
• Participate in the recruitment and interview process of administration staff in conjunction with Human Resources.
• Responsible for day-to-day management of administrative staff.
• Lead, develop and coach administration staff.
• Responsible for providing secretarial services to the multi-disciplinary team.
• Accountable for the scheduling of appointments to the office and associated units.
• Communicate to the Clinical Director timely and accurate reports relating to attendance and compliance rates.
• Continuous liaison with Programme Evaluation Unit and Data Team in regard to the integrity of client data contained in the Population database.
• Continual input into the development of the IT system as part of the User Group.
• Participation in the User Acceptance Testing and training schedules.
• Responsible for the maintenance of the Unit.
• Implement Health and Safety Policy in collaboration with all members of staff within the Unit.
• Develop and implement the Unit Safety Statement. Ensure the Safety Statement is reviewed and updated as necessary.
• Responsible for the management of complaints and incidents
Requirements:
• Ideally 5 years relevant administrative and supervisory experience.
• A relevant third level qualification is required.
• Experience in a health care environment would be desirable.
• Knowledge of Business Objects Reports would be an advantage.
